This Privacy Policy explains how personal information is collected, used, disclosed, and retained through the shared website at furlo.com and through the internal FPM Inspections application.

Furlo Capital LLC and Furlo Property Management LLC are separate Oregon limited liability companies under common ownership. They share this website and some administrative systems, but remain separate legal entities. Each company is responsible for personal information collected through the pages, forms, communications, and services it operates.

Furlo Capital LLC operates the investment and educational portions of the website. Furlo Property Management LLC operates the property-management portions, including rental applications and property-management inquiries, and is the sole operator of FPM Inspections.

1. Information collected through the website

Depending on how you use the website, we may collect:

  • Contact and inquiry information, such as your name, email address, telephone number, message, and communication preferences.
  • Newsletter, event, and scheduling information, including information submitted to join a mailing list, request a resource, register interest, or schedule a call.
  • Property-owner information, such as a property address, ownership or management details, and information submitted for a rental analysis or property-management inquiry.
  • Rental-application information, including the property applied for, name, contact information, date of birth, the last four digits of a Social Security number, current address, employment and income information, rental history, landlord and employer contact information, and applicant certifications and consents.
  • Screening and verification information, which may include consumer reports, credit information, criminal-background information, eviction history, and information received from employers, landlords, screening providers, or other sources as authorized by an applicant and permitted by law.
  • Technical and usage information, such as IP address, approximate location inferred from IP address, browser and device characteristics, referring pages, pages viewed, interactions, session information, and diagnostic data.

2. Information processed through FPM Inspections

FPM Inspections is an internal business application available only to personnel authorized by Furlo Property Management LLC. It is not offered to tenants or the general public. The application may process:

  • an authorized user's name, work email address, account identity, and authentication information;
  • property, unit, room, tenant, inspection, condition, maintenance, appliance, installation, and related record information;
  • photographs selected from the device or captured during an inspection;
  • dictated notes and transcripts. The app requests microphone and speech-recognition access and is designed to use on-device recognition when available. When on-device recognition is unavailable, Apple may process audio to provide speech recognition. The transcript may be retained as part of the inspection record; the app does not intentionally retain raw dictation audio as an inspection record;
  • limited device, authentication, network, log, and diagnostic information needed to secure, operate, synchronize, and troubleshoot the application; and
  • temporary offline copies and queued records stored on the authorized device until they can be synchronized.

FPM Inspections does not currently request device-location permission and does not include advertising or third-party marketing analytics SDKs.

3. How information is used

As applicable to the service and responsible company, information may be used to:

  • respond to inquiries and provide requested services;
  • send requested resources, newsletters, service messages, and marketing communications, subject to applicable choices;
  • evaluate rental applications, verify application information, obtain authorized screening reports, and communicate about housing;
  • provide property-management, investment, educational, and related business services;
  • authenticate authorized personnel and secure internal systems;
  • conduct and document property inspections; maintain property records; prepare reports; identify, prioritize, and process maintenance work; and communicate with owners, tenants, vendors, and other authorized recipients;
  • operate, protect, troubleshoot, analyze, and improve the website, application, and business processes; and
  • comply with legal obligations, enforce agreements, and protect people, property, and legal rights.

4. Analytics, cookies, and similar technologies

The website uses cookies, tags, pixels, session-replay or interaction-analysis tools, and similar technologies. These technologies help operate and secure the website, remember preferences, understand traffic and visitor interactions, improve content and performance, measure form submissions, and evaluate marketing. The particular providers may change, so this Policy describes them by function rather than maintaining a permanent vendor list.

Analytics and marketing providers may receive online identifiers, IP address, approximate location derived from IP address, device and browser information, referring URLs, pages viewed, and website interactions. Depending on the provider and configuration, they may combine this information with information from other sites or services.

You can use browser settings to block or delete cookies and may use opt-out controls made available by relevant providers. Blocking technologies may affect website functionality. You may also contact us using the information below regarding applicable privacy choices.

5. Automated and AI-assisted processing

Furlo Property Management may use service providers that offer artificial-intelligence or automated-processing tools to assist authorized personnel with tasks such as cleaning up dictated notes, interpreting inspection entries, extracting equipment information from nameplate photographs, deriving potential findings, generating maintenance-request titles, and drafting inspection or owner-report content.

Relevant transcripts, photographs, property context, and inspection content may be sent to these providers for the requested processing. Generated output is intended to assist, not replace, human review. Authorized personnel remain responsible for reviewing records and decisions.

6. How information is disclosed

Information may be disclosed to:

  • personnel and contractors of the responsible Furlo company who need the information for authorized work;
  • infrastructure, website-hosting, cloud-storage, authentication, security, forms, communications, email-marketing, scheduling, mapping, analytics, session-analysis, advertising-measurement, automation, speech-recognition, AI, and other technology providers;
  • property-management, screening, maintenance, repair, inspection, and professional-service providers;
  • DoorLoop, when inspection information, maintenance requests, and related attachments are transferred to the property-management system;
  • property owners, tenants, applicants, vendors, insurers, advisers, governmental authorities, or other recipients as appropriate to provide services, manage property, comply with law, or protect rights and safety; and
  • a successor or prospective successor in connection with a merger, financing, reorganization, or transfer of business or assets.

The companies do not sell personal information for monetary payment. Some privacy laws may define certain analytics or advertising disclosures as a "sale," "sharing," or targeted advertising even when no money is exchanged. If such a law applies, you may exercise the applicable opt-out right by contacting us as described below.

Information from FPM Inspections is not used for third-party advertising or made available to the general public.

7. Retention

Information is retained for as long as reasonably necessary for the purpose for which it was collected, to provide services, and to satisfy legal, accounting, contractual, security, and operational requirements. Retention periods vary by record type and the responsible company.

Furlo Property Management currently retains inspection reports, photographs, notes, property information, maintenance records, and related materials indefinitely as part of its property and business records, unless it decides or is required to delete them sooner. Rental applications, screening and tenancy records, inquiries, communications, marketing records, and technical data are retained according to applicable business needs, legal requirements, and established record-retention practices.

Temporary offline app data and upload queues may remain on an authorized device until synchronization, removal, or app-data deletion. Service providers may retain information according to their agreements and legal obligations.

8. Security

We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information processed. FPM Inspections is protected by access controls and uses Cloudflare Access authentication with an approved organizational identity. Authentication credentials used by the iOS app are stored using Apple Keychain services. No transmission or storage system is completely secure, and absolute security cannot be guaranteed.

9. Your choices and privacy requests

You may unsubscribe from marketing emails using the link in the message. You may also ask to access, correct, or delete personal information, or exercise another privacy right available under applicable law, by contacting hello@furlo.com. We may need to verify your identity and determine which company is responsible for the relevant service.

Rights are subject to applicable exceptions. For example, information may be retained when reasonably necessary to comply with law, complete a transaction, manage a tenancy or property, maintain business records, protect security, or establish or defend legal claims. Personnel using FPM Inspections may also be subject to employment, contractor, and internal record-retention requirements.

10. Children

The website and FPM Inspections are not directed to children under 18. We do not knowingly collect personal information directly from children through these services. Information about occupants or household members may nevertheless appear in authorized property-management records when permitted by law and reasonably necessary to manage a property or tenancy.

11. External services and changes

The website may link to or embed services operated by others. Their privacy practices are governed by their own policies. We may update this Policy as our services, practices, or legal obligations change. The revised Policy will be posted here with an updated date.
